Run a Meeting, Don’t Let It Run You: How to Make Every Meeting Count

Meetings get a bad rap—and honestly, some deserve it.

After sitting on the executive committee for several clients, I’ve seen firsthand how unproductive meetings drain energy and momentum. No agenda. No facilitation. No takeaway. Just hours of “talking at” people with little collaboration or clarity.

Whether you're a corporate leader, manager or independent consultant, running productive meetings isn’t optional—it’s a leadership skill. Here’s how to make your next meeting one people thank you for (not dread).

 

1. Start with an Objective, Not Just a Calendar Invite

Don’t hold meetings because “we always do.” Have a clear objective: align a team, brainstorm client solutions, review campaign performance. Then share a simple agenda beforehand so people can show up prepared and focused.

 

2. Choose Participants Wisely

Meetings aren’t spectator sports. Invite only those directly contributing to the goal. Everyone else? Loop them in with notes or follow-ups. You’ll increase engagement and reduce noise.

 

3. Timebox with Purpose

Not every meeting needs an hour. Match the time to the objective—30 minutes for updates, longer for strategy. For anything over 90 minutes, build in breaks and stick to your schedule.

 

4. Meetings Aren’t Meals

Food distracts. Keep the conference table clear so the team can stay focused. If you want to foster connection, do lunch before or after the meeting.

 

5. Facilitate Like You Mean It

Every meeting needs a leader. Not a dominator—a facilitator. Someone who keeps the pace, invites quieter voices in, manages talkers and drives toward a decision. You’re not just running a meeting; you’re modeling how to lead one.

 

6. Clarify Next Steps, Every Time

Every meeting should end with clear outcomes. Who’s doing what by when? Send a quick recap of decisions and action items within 24 hours. Accountability makes meetings meaningful.

 

7. Invest in Doing It Better

If your meetings still feel scattered or ineffective, invest in improvement. Use planning tools, find a facilitator or bring in a pro. Great meetings don’t just happen—they’re built.

 

The best meetings are short, sharp and purposeful. They connect people, clarify direction and move work forward. Run your meetings with intention—and watch your influence grow.
